This Privacy Policy explains how Anybody Can Run (ABCR) (“we”, “us”, “the Organiser”), the organiser of the Vedanta Pink City Half Marathon, collects, uses, shares and protects your personal information when you visit https://pinkcitymarathon.com, register for the event, or otherwise interact with us.

We handle personal data in accordance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023, as applicable.

By registering for the event or using this website, you consent to the practices described in this policy. If you do not agree with it, please do not register or submit your information to us.

1. Information We Collect

1.1 Information you give us when you register

To enter you into a timed, insured sporting event we need:

  • Identity details — full name, gender, date of birth (to verify the minimum-age rule for your race category and to place you in the correct age group).
  • Contact details — email address, mobile number, WhatsApp number, postal address, city, state, country and PIN code.
  • Event details — race category, T-shirt size, and (where you choose to give it) your expected finish time or club affiliation.
  • Health and safety details — blood group, and the name and number of an emergency contact. Blood group and any medical information you volunteer are treated as sensitive personal data and are used only for medical response on race day.

1.2 Information you give us in other ways

  • Messages sent through our contact form, by email, phone or social media.
  • Photographs, videos or content you submit to us or post to our channels.

1.3 Information collected automatically

  • Usage data — IP address, browser type and version, device type, pages viewed, referring page and time of visit.
  • Cookies and analytics — we use Google Analytics to understand how the site is used. These cookies are set by Google and may record a pseudonymous identifier for your browser. You can block or delete cookies through your browser settings; the site remains usable if you do.
  • Our pages load fonts from Google Fonts, which means Google receives the request needed to serve those files.

1.4 Payment information — what we do not collect

Registration payments are processed by our payment gateway, Razorpay Software Private Limited. Your card number, CVV, UPI PIN, net-banking credentials and similar payment credentials are entered on the gateway's secure environment and are never collected, seen or stored on our servers. We receive only the outcome of the transaction — success or failure, the amount, the date and a transaction reference — which we need in order to confirm your entry and to handle any payment dispute. Razorpay processes your payment data as an independent controller under its own privacy policy, which we encourage you to read at razorpay.com/privacy.

3. When We Share Your Information

We do not sell, rent or trade your personal data. We share it only as set out below, and only to the extent needed:

  • Payment gateway — Razorpay, to process and reconcile your payment.
  • Race timing partner — to allocate your bib, record your chip time and publish results.
  • Medical and emergency services — on-course doctors, ambulance and hospital staff may be given your name, age, blood group, medical details and emergency contact if you require assistance.
  • Insurance provider — where participant cover is arranged, the details required to issue it.
  • Service providers — our website host, email and messaging providers, and the T-shirt and race-kit vendors who need your size and name.
  • Contact-form records — messages submitted through the contact form are stored in our database and also copied to a Google Sheet held in our Google Workspace account, so that our team can respond to them.
  • Title sponsor and partners — aggregated, non-identifying participation statistics only. We do not pass your contact details to sponsors for their own marketing without your explicit consent.
  • Authorities — police, municipal or government bodies where required by law, by court order, or for event permissions and public-safety planning.

4. Publication of Results and Photographs

Timed sporting events are public by nature. Please note that:

  • Your bib number, name, category, age group, city and finish time will appear in published start lists and result lists on this website and on our timing partner's platform, and may be reported in the media.
  • Photographs and video footage taken at the event may include you, and may be used by the Organiser and its partners for reporting, archival and promotional purposes, as described in our Terms & Conditions.
  • If you have a specific safety concern about your name appearing in public results, write to us at info@anybodycanrun.com before race day and we will discuss the options available.

5. How Long We Keep Your Data

  • Registration and results data — retained as part of the permanent historical record of the event. Results, once published, are ordinarily kept indefinitely.
  • Medical and emergency-contact details — retained only for the event period and a short window afterwards for incident follow-up, then deleted.
  • Payment and transaction records — retained for at least 8 (eight) years as required by tax and accounting law.
  • Contact-form messages — retained for up to 3 (three) years.
  • Marketing lists — until you unsubscribe.

6. How We Protect Your Data

This website is served over HTTPS. Access to registration records is restricted to authorised ABCR personnel and our appointed service providers, who are required to keep the data confidential. Payment credentials never reach our systems (see section 1.4).

No method of transmission or storage is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security, and you share information with us on that understanding.

7. Your Rights

Subject to applicable law, you may:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct data that is inaccurate or incomplete;
  • ask us to erase data that we no longer need — noting that published results and records we must keep for tax or legal reasons cannot be erased on request;
  • withdraw consent for marketing at any time, by using the unsubscribe link or writing to us;
  • nominate another person to exercise these rights on your behalf in the event of your death or incapacity, as provided under the DPDP Act, 2023.

To exercise any of these rights, email info@anybodycanrun.com from the address you registered with. We may ask you to verify your identity before we act, and we will respond within the timelines set by applicable law.

8. Children and Minors

Our race categories carry minimum ages — Half Marathon (21.1 km): 18 years; Cool Run (10 km): 15 years; Dream Run (5.5 km): 12 years. A participant below 18 years of age must be registered by a parent or legal guardian, who must provide their own contact details and accept the waiver and these policies on the minor's behalf. We do not knowingly collect data directly from a child without that consent. If you believe a child's data has been submitted to us improperly, contact us and we will remove it.

9. Links to Other Websites

Our registration is hosted on https://registration.pinkcitymarathon.com/register and our site links to partner, sponsor and social-media pages. Those sites are governed by their own privacy policies, and we are not responsible for their content or practices.

10. Changes to This Policy

We may update this policy from time to time. The revised version takes effect when published on this page, and the “Last updated” date above will change. Where the change is significant, we will make reasonable efforts to notify registered participants by email.

In accordance with the Information Technology Act, 2000 and the rules made under it, and the DPDP Act, 2023, complaints regarding the processing of your personal data may be addressed to:
